Email setup, archiving and support
Staff should send mail as the business, not as a free personal account. We set that up, lock it down, and put an archive behind it so old mail can be found and is not one mailbox failure away from disappearing.
Setup
A working company mail system usually needs four things:
- Your domain, so addresses match the business name
- A mailbox for each person who sends mail
- Encryption and multi-factor authentication, so a stolen password is not enough
- A connection to the other tools staff already use, where that saves retyping
Archiving
An archive is not the same thing as a full mailbox. It is a kept copy you can search, with a decision about how long mail stays and what it costs to store.
- Retention that follows the rules your industry actually imposes, where you have them
- Search, so a message can be found without opening every account
- Storage sized for the volume you have, not an unbounded pile
- A restore path if the live mailbox is lost
